POSITION TITLE: Leadership Gifts Assistant
LOCATION/DEPT: DHQ/Development and Communications Department
REPORTS to (TITLE): Director of Leadership Gifts
Administrative support will be provided for the Leadership Gifts Department in order to ensure that the functions of this position are achieved and effective donor relations are maintained. This includes assistance with written and oral communications, with planning and implementation of department objectives as well as maintaining a data management system (paper files and electronic data files). A liaison will also exist both within the department of Leadership Gifts as well as with other Development/Communications groups, Metropolitan Division departments/sites and donor contacts. This position requires the utmost confidentiality, accuracy, computer skills, the ability to multi-task in a fast paced environment, and a heart to help those in need.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Assists with donor contact through correspondence, telephone or in-person communication.
Assist in updating the database and maintaining the paper filing.
Assist the Leadership Gifs staff with donor contact database entries.
Ensures that Thank You/Acknowledgement letters are sent out in a timely manner to donors who have contributed.
Assists, as requested, with personalized thank you cards.
Assist in compiling and proof reading all mailings, newsletters and other materials that are generated by the department.
Coordinates sending of newsletters, proposals, event invitations and other communications to all leadership gift donors and prospects.
Assists the leadership gifts staff in compiling and submitting progress reports as requested.
Conduct donor and prospect research and create research briefs for the Leadership Gifts staff.
Coordinate meetings, maintain records and take minutes as required.
Assist with events including, but not limited to:
Data entry and follow-up
Confirm and assist in scheduling appointments with donors and prospects.
Ability to communicate efficiently and effectively with Leadership Gifts staff when they are in the field.
Responsible for an ongoing evaluation of assigned administrative processes to improve the overall efficiency of department operations, decrease turnaround times, streamline work processes, and cooperative work efforts to provide quality donor relations.
Assistance in ensuring coordinated efforts with other Development areas.
Assist with other Leadership Gifts department duties as assigned and needed.
Perform office administrative duties (typing, filing, handling mail, and handling incoming/outgoing phone calls) and other related duties as assigned.
This individual relates to and interacts with a wide range of contacts both within and outside the Salvation Army (including, but not limited to, Development and Communications Department staff, donors, department heads, institutions and Corps personnel, potential and current donors). In these contacts they act as a representative of the Army and its mission.
Under general supervision of the Director of Leadership Gifts with some freedom to plan, schedule and carry out responsibilities within established policies and guidelines.
This individual will be evaluated on how effectively the outcomes of this position are achieved, as well as the timeliness, accuracy and completeness of accomplishing assigned goals.
Minimum of two years of college education or its equivalent, a BA or BS is preferred.
2 years of experience in an administrative assistant or secretarial position.
Experience with a computer based work environment and an excellent working knowledge of Word. .
Must be strongly proficient in MS word, Excel, and Internet usage.
Excellent communication (verbal and written) and interpersonal skills, using diplomacy and good judgment.
A professional telephone manner is essential.
Knowledge of or a willingness and aptitude to learn the concepts involved with Leadership giving.
Demonstrated ability to use initiative and be a self-starter.
Ability to engage others with a professional and sincere approach.
A personal style that exhibits the principles and values of the Army.
A positive attitude and the ability to be flexible in light of changing job situations/priorities.
A willingness to support the mission of The Salvation Army.
An understanding of how to effectively work with diversity in the workplace.
An ability to work with confidential material.
Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
This individual will only commit Army resources that have been allocated or approved.
This individual will keep the Director of Leadership Gifts informed on all critical issues relating to their area of responsibility.
This individual will adhere to all policies and procedures in carrying out the responsibilities of this position.
PHYSICAL DEMANDS/WORK ENVIRONMENT
This position is required to do light physical work. In order to successfully perform the essential functions of this position, the employee is regularly required to use standard office equipment and a PC. The work environment for this position includes an office environment with a low noise level.
