Manage a defined set of contracts within the central IT portfolio. Provide decision support by gathering information on existing supplier contract data, vetting new suppliers, negotiating and delivering awards, and assessing supplier performance throughout the contract term.
Preferred Experience: Experience in higher education or within an IT environment.
Required Skills, Knowledge and Abilities: Ability to perform multiple assignments within a fast-paced customer service driven environment. Excellent problem solving, organizational and communication skills. Intermediate knowledge of standard office software, including financial and/or spreadsheet and database software.
Manage a defined set of contracts by tracking metrics and ensuring continuity within the portfolio. Maintain an inventory of all contracts, pricing agreements and leases, including invoices, payments, lease activities and the return of equipment. Evaluate the quality of supplier deliverables against established performance expectations and milestones. Produce customized reports based on portfolio data for internal stakeholders. Lead initiatives to automate, improve operations, create efficiencies and reduce costs. Implement best practices in file management and record tracking to enhance procurement functions.
Build strong internal and external relationships. Facilitate internal stakeholder meetings on a regular cadence to review existing portfolio metrics and forecast changes. Serve as a liaison between stakeholders and suppliers to address complex relationship issues, ensure accountability and continuous improvement.
Manage the evaluation and selection of vendors as well as the negotiation of purchase contracts and service level agreements. Develop strategies and participate in negotiations with potential and current suppliers. Obtain and evaluate bids when required as determined by University policy. Monitor and measure supplier performance on a regular basis. Assess lead times and delivery conditions for impact on project completion
Develop procedures to improve asset controls and financial compliance. Assist technology life cycle management efforts through coordination of the equipment decommissioning and/or return
Meet organization-wide cost savings goals and ensure that expenditures are within established spending ranges and thresholds. Determine best approach to meet goals based on historical activity and trends. Prepare reports and studies to support analysis and forecasts
Coordinating with Office of Legal Counsel and Insurance and Risk Management on review and approval of contracts, agreements, and bids. Facilitate implementation of financial policies and procedures and monitor, evaluate, and advise on application of policies and procedures to ensure compliance with University policy
