The West Virginia University Alumni Association is seeking a professional and dedicated employee for the position of Project Account Coordinator. This position will provide work with an assigned department, assisting with event coordination and budgeting.
In order to be successful in this position, the ideal candidate will:
Establish and maintain record keeping systems.
Coordinate events and conferences, including planning, advertising, contracting for vendor services, registration, and event completion.
Initiate contractual agreements between West Virginia University and outside agents.
Arrange meeting facilities, setup requirements, and billing of revenue lines.
Answer phones and greet visitors.
Make recommendations for major purchases of supplies for assigned department.
Assist in developing and monitoring annual project or program budget with supervisor.
Maintain records regarding accounts receivable and submit reports as required, ensuring accounting procedures are followed and deposits are accurately processed.
Evaluate and assess staffing needs and recommend changes to supervisor.
Deal with administrative problems and inquiries, coordinating communications and activities within the office.
Create reports to retrieve program/project information from automated system; may perform initial analysis on reported information and make recommendations to supervisor based on this data.
Prepare various financial reports and cost studies as directed for analysis.
Audit accounts for compliance and monitor revenues and expenses.
Enter inquiries, sales, invoicing, contracts, banquet event orders, diagrams and all event backup into Kx system.
Maintain accurate customer account information in Kx system.
Understand forecasting and compile regular reports using Kx Microsoft office and data analytical dashboards.
Master's degree or an equivalent combination of education and experience; degree in business or hospitality preferred
One (1) year of administrative work that includes managing financial accounts
Experience in the hospitality field preferred
