The College of Business and Economics at West Virginia University is seeking applications for an Administrative Associate. This position is responsible for providing primary office administrative support to the Finance and Marketing academic departments, including administrators, faculty, students, the Center for Financial Literacy and Education, and the Sales Institute as needed. This involves contact with faculty, students, parents, alumni, general public, and outside academic institutions, agencies and firms necessary to the smooth functioning of the department's programs and the completion of its educational mission.
In order to be successful in this position, the ideal candidate will:
Assist and advise chairperson(s) as needed with general operation of applicable academic units, including management of chairperson(s) calendar to ensure department chair(s) are prepared for and prompt at all meetings.
Assist academic units with collection of information, and preparation and editing of reports, letters and other documents, sometimes of a confidential nature.
Monitor department expenditures, review quarterly financial reports and make recommendations to the chair of resource utilization for operating budgets.
Manage full spectrum of faculty search processes, including, but not limited to, participating on search committees, monitoring WVUHire applications, and coordinating all logistics for on-campus visits.
Receive and screen phone calls, answer questions and make appropriate referrals, and respond to requests for information from internal and external constituencies.
Purchase supplies and services for units using approved vendors and systems, verify availability of funds, and ensure timely payments to vendors.
Supervise pool of student workers.
Arrange travel as requested by faculty members and department chairs in accordance with WVU Travel Program policies, procedures, and budget.
Arrange campus visits for external visitors, including, but not limited to, advisory groups, faculty, and high level staff candidates. This involves independently arranging visitor schedules and travel arrangements; scheduling meetings with requested faculty, staff and administration; requesting required hospitality; preparing and disseminating agendas; and escorting guests where appropriate.
Distribute incoming campus mail and packages.
Assist College Administrative Offices (Dean, Associate/Assistant Deans) as requested.
Pay Grade: 14
Associates degree in a related field; an equivalent combination of education and work experience may be considered in lieu of a degree
Two (2) years of experience in the following areas:
Event and travel planning
Working with computers
Excellent interpersonal and communication skills, both oral and written
Ability to utilize a computer and various software programs, especially Microsoft Office
Knowledge of WVU purchasing and travel policies is preferred
