The Program Associate is responsible for preparation and dissemination of project materials; preparation and production of project reports; management of the QIC-Court Teams web page; a variety of administrative activities that support communication with the QIC-Court Teams staff, judges and members; and project-related meeting logistics.
Essential Duties and Responsibilities
• Supports project activities by participating in all project staff meetings.
• Produces agenda and minutes from staff meetings and related events.
• Coordinates logistics for in-house project related meetings (schedules meeting rooms, orders meals, schedules conference calls, etc.).
• Coordinates and conducts project mailings to project participants; events; and other project-related activities.
• Coordinates logistics for project-related travel (schedules hotel conference facilities, coordinates travel arrangements for participants, processes reimbursements).
• Serves the lead role in managing the QIC-Court Teams website and keeps website updated.
• Coordinates and edits postings to the QIC-Court Teams Information Sharing Network; solicits and edits postings.
• Contributes to the drafting of reports to funders.
• Responds to general incoming calls related to project activities.
• Orders materials and supplies for project as needed.
• Maintains current lists of contact information for listserves hosted by project.
• Prepares letters/correspondence for overall project activities as directed.
• Maintains central filing systems (electronic and paper) for overall project-related activities
• Acts as a liaison between contract employees and Finance.
• Provides new employees with QIC-Court Teams orientation materials, email addresses, and ensures that their paperwork is completed and submitted.
• Handles all accounts (payable and receivable) including, but not limited to, staff and consultant expense reports, staff credit cards, contract employee timesheets, staff cell phone bills, Concur reports and other project-related invoices.
• Contributes to the development and production of QIC-Court Teams publications
• Enters and summarizes evaluation data for reports.
• Initiates monthly budget reviews and handles adjustments with Finance.
• Maintains calendar of deliverables and coordinates project development of required reports.
• Runs reports from the QIC-Court Teams database to submit as components of reports to funders.
• Assigns the initial passwords to all staff having access to the SBCT database and keeps a record of all levels of access
• Serves as backup to front desk reception area
• Performs other duties as assigned for the purpose of ensuring the efficient and effective functioning of the project.
Skills & Experience
• Strong knowledge of office practices and procedures to perform clerical and typing functions (50 wpm or greater) with efficiency and accuracy.
• Computer literate with proficiency in word processing (MS Word, Excel, Access, Power Point).
• Excellent oral and written communication skills.
• Ability to organize and prioritize daily assignments and meet deadlines.
• Strong meeting/event planning skills.
• Highly dependable and detail oriented.
• Ability to work as member of project team.
• At least two years’ work related experience.

Bachelor’s degree, or equivalent experience.
While performing the responsibilities of the job, the employee is constantly required to use repetitive motion, finger dexterity as well as sufficient hand dexterity to use a computer keyboard and be capable of reading a computer screen. Also, may need to remain seated for long periods of time, have the ability to perform repetitive motions, and hear well enough to detect nuances and receive detailed information. The employee may be required to walk, grasp objects, push or pull objects, bend, squat, reach, stand, or kneel. Vision abilities required by this job include close vision for preparing and analyzing data. Frequently lifts objects up to 30 pounds. Occasionally lifts objects up to 60 pounds.
The work conditions described here is representative of those an employee encounters while performing this job. Depending on work location, the incumbent will typically work indoors in a heated and air-conditioned office, with a mixture of natural, incandescent and fluorescent light with low to moderate noise levels or be subject to working conditions conducive to a home office. When travel is expected, the incumbent will be exposed to outside environmental conditions during those times.
